Privacy Policy

This policy explains how Maximum Ventures LLC, a Florida limited liability company ("Keyframes", "we", "us"), collects, uses and shares personal information when you use the Keyframes app at app.keyframes.mov and the website at keyframes.mov (together, the "Service"). The Service is offered only to people and organisations in the United States.

1. Our role

• Account data is information about you as a user of the Service: your name, email address and how you use the Service. We decide how it is used, so we are its controller.
• Production data is the work you and your collaborators put into the Service: scripts, schedules, budgets, call sheets, files, and the details of cast, crew and other people you enter. We process it on behalf of the person or organisation that owns the production, who is its controller. If you enter other people's personal information, you are responsible for having a lawful basis to do so and for giving them any notice the law requires. Team customers can ask us for a data processing agreement.

2. Information we collect

You give us:

• Account details: name, email address, password (stored securely), profile picture, preferences.
• Production data, as described above.
• If you apply for a student plan: your school email address and whether it was verified.
• Messages you send us, including feedback and support requests.
• Your email address and basic request details if you join a waitlist.

Collected automatically:

• Device and log information: IP address, browser type, and the date and time of requests and sign-ins.
• Usage information: which features and screens are used. This is linked to internal account identifiers, not to your name or your content.
• Error information when something goes wrong, which can include your name, email address and account identifier so we can follow up.

From others:

• Collaborators who invite you or add your details to a production.
• Our payment processor, which tells us whether a payment succeeded. We never receive your full card number.

Programs. If you apply to or take part in a program we run, such as the Campus Ambassador program, that program's privacy notice explains what it collects and how it is used, including any automated or AI-assisted review. It applies in addition to this policy.

3. How we use it

We use personal information to:

• provide the Service: accounts, syncing work between collaborators, generating documents, and sending sign-in links, invitations and the call sheets you ask us to send;
• run the AI features you choose to use (see section 4);
• keep the Service secure: preventing abuse, fraud and automated sign-ups, and diagnosing errors;
• understand which features are used so we can improve them (you can opt out in Settings);
• verify student eligibility;
• send service and account emails, and optional emails you have agreed to (you can unsubscribe at any time);
• handle billing, once paid plans are offered;
• meet legal obligations and enforce our terms.

Your name and email address are needed to create an account. Without them we can't provide the Service. Everything else you give us is optional, though some features won't work without it.

4. AI features

When you use our assistant (Key) or other AI features, the parts of your production needed to answer, such as scene text or the relevant records, are sent to a third-party AI model provider to generate the response. If you don't use these features, your production content isn't sent to an AI provider. We do not use your production content to train AI models. The assistant proposes changes. A person must accept a change before it is made.

5. How we share information

We do not sell personal information, and we do not share it for cross-context behavioural or targeted advertising.

We share information only:

• With service providers that process it for us under contract and only for the purposes above:
  • hosting and database
  • file storage and content delivery
  • email delivery
  • error monitoring
  • product analytics
  • AI model provision
  • address lookup
  • bot protection
  • payment processing

  Payments are handled by Stripe. Bot checks on some forms use Cloudflare Turnstile, which runs in your browser; Cloudflare's handling of that data is described in its Turnstile privacy addendum. A current list of our service providers is available on request.

• With the people you work with. Collaborators see the productions they have access to, limited by their role. Anyone with a call-sheet link you send can open that call sheet until it expires, so treat those links as confidential.
• For legal reasons. To comply with law, legal process or a lawful request, or to protect rights, safety and the Service.
• In a business transfer. For example, a merger, acquisition or sale of assets, subject to this policy.

6. Cookies and similar technologies

The app uses a strictly necessary cookie to keep you signed in, including for demo guest accounts. Display preferences are stored in your browser's local storage. We do not use advertising cookies or third-party tracking scripts. Our usage analytics run from our servers, not through a script or cookie in your browser.

Because we don't track you across other websites or sell or share your data for advertising, we don't change our practices in response to Do Not Track signals. We treat a Global Privacy Control signal as a valid opt-out where the law requires it.

7. How long we keep information

We keep personal information for as long as needed for the purposes in section 3:

• Account and production data: while your account or the production exists. When you delete them, we delete the data from our live systems. Copies in backups expire on a rolling schedule and are not restored to recover deleted data.
• Demo guest accounts: deleted automatically after a short period of inactivity.
• Student verification records: while you hold the student plan, and for a short period afterwards to prevent misuse.
• Security and abuse-prevention records, such as IP-based counts: only as long as needed to detect and prevent abuse.
• Activity history within a production: kept for audit purposes while the production exists.
• Waitlist entries: kept until the waitlist closes or you ask us to remove yours.

We may keep information longer where the law requires it or to resolve disputes.

8. Deleting your account

You can delete your account in Settings. This deletes your account and every production in your personal workspace. Productions that belong to a team organisation are not deleted: they belong to the organisation, and your access is removed.

9. Your rights

Depending on the state you live in, you may have the right to:

• access the personal information we hold about you
• correct it
• delete it
• receive a copy in a portable format
• withdraw consent you have given, without affecting earlier processing

We will not discriminate against you for using these rights.

To make a request, email hello@keyframes.mov. We may need to verify your identity, and we will respond within the time the law requires. For production data held on behalf of an organisation, we may refer you to that organisation.

10. Where we process data

We are based in the United States and process information there. Some of our service providers may also process it in other countries, under contract with us.

11. Security

We use reasonable technical and organisational measures to protect personal information, including encryption in transit and permission checks on access to productions. No system is completely secure, and we can't guarantee absolute security. To report a security issue, email hello@keyframes.mov.

12. Children

The Service is not intended for anyone under 16, and we do not knowingly collect personal information from children. If you believe a child has given us information, contact us and we will delete it.

13. Changes to this policy

We may update this policy. We will post the new version here with a new effective date. If a change is material, we will also notify you, for example by email or in the app, before it takes effect.
